R3ntal Central (company number 12345678) is the controller of the personal information we collect through this website and our car hire service. You can contact us about privacy at hello@brandfactorylondon.com.

2. What we collect

  • Your details: name, email address, phone number, postal address and date of birth.
  • Driving licence details: a photo of your licence, its number and expiry date, your DVLA check code and the result of the licence check.
  • Booking details: the cars, dates, drivers and prices of your hires, your signed hire agreements, and the condition records, photos and videos taken when a car is collected and returned.
  • Payments: records of what you have paid and been refunded. Card payments are handled by our payment provider; we do not store your full card details.
  • Messages: what you send us and what we send you.
  • Technical data: the information needed to keep you signed in and the site secure.

3. How we use it, and why we're allowed to

  • To provide your hire (the contract with you): taking and managing bookings, checking eligibility, taking payments, handing over and receiving cars, and contacting you about your booking.
  • To meet legal obligations: keeping financial records, and responding to authorities about fines, penalty charges or incidents involving a hired car.
  • For our legitimate interests: checking driving licences, protecting our cars and preventing fraud, handling damage and claims, and improving our service.
  • With your consent: sending you marketing, only if you opt in. You can opt out at any time.

4. Who we share it with

We share personal information only where needed, with:

  • our payment provider, to take and refund payments;
  • the companies that host our website, booking system and email;
  • the DVLA, to check driving licences;
  • insurers and their agents, if there is damage, a claim or an incident;
  • the police, local authorities and other issuers of fines and charges, where the law allows or requires it.

We never sell your personal information.

Some of our providers may process information outside the UK. Where they do, we make sure appropriate safeguards are in place.

5. How long we keep it

We keep your information only as long as we need it for the purposes above, including legal, accounting and insurance requirements.

Retention periods to be confirmed, for example how long booking, licence and financial records are kept.

6. Your rights

You have the right to ask for a copy of your information, to have it corrected or deleted, to object to or restrict how we use it, and to have it transferred. Some rights are limited where we must keep information by law. To use your rights, contact us at hello@brandfactorylondon.com.

If you're unhappy with how we handle your information, you can complain to the Information Commissioner's Office at ico.org.uk.

7. Cookies

We use only the cookies needed to run the site, such as keeping you signed in to your account. If we add analytics or other cookies later, we will ask for your consent first and update this policy.
